HR and payroll · Workday data quality for AIWorkday knows who works here. Does anyone else?

Workday holds worker records, positions and supervisory organisations, and every change carries effective-dated history. Reorgs, acquisitions and integration loads leave that history uneven. We compare Workday exports with payroll, CRM and finance to show whether workforce AI, or any AI that relies on who owns what, would see the real organisation.

Starts with a 30-minute call. Commits you to nothing. Then exports only: no login, no connected app, nothing installed.

Illustrative example, not a client.

Source of truth

What Workday gets right.

Every system is built to be right about something. Knowing what Workday owns, and what it doesn’t, is where a cross-system check starts, and where the Truth Score™ (a score out of 100 for how far your data can be trusted) begins to take shape.

  • 01

    Who works here

Workers, hire and termination dates, worker type.

  • 02

    The organisation

    Supervisory organisations, managers, cost centres.

  • 03

    Roles and pay structure

Positions, job profiles and compensation grades.

What it isn’t the truth for

What people were paid, where payroll runs elsewhere, or who owns which customer. Those live in payroll and the CRM, and can disagree with Workday.

Inside the system

Common Workday data problems for AI.

What goes wrong inside Workday itself, with the objects and fields where it shows. Each one is checkable from an export.

  1. 01

Positions that don’t reconcile with headcount

Filled, vacant and closed positions overlap, so staffing and attrition models miscount the workforce.

    Position_IDPosition statusWorker_ID

  2. 02

    Gaps in effective-dated history

Retroactive edits and missing prior rows make tenure, promotion and mobility timelines unreliable.

    Effective_DateBusiness_Process_TypeJob history

  3. 03

    Broken supervisory organisations

Empty orgs, orphaned managers and dotted lines fracture the reporting hierarchy.

    Supervisory_OrganizationManagerCost_Center

  4. 04

    Contingent workers captured unevenly

Contractors recorded in some places and not others distort cost and capacity models.

    Worker_TypeContingent_Worker_ID

  5. 05

Job profiles and grades that overlap

Legacy profiles and off-grade pay make role and pay analysis meaningless to a model.

Between systems

Workday looks clean on its own. The gaps are next door.

The problems that sink AI sit between Workday and the systems beside it: the same customer, person or transaction recorded differently in each. These are the gaps to test for each pairing.

What to export

What we need from you, in plain English.

Your HRIS team can run standard or custom reports to Excel. We list the columns and agree how personal fields are minimised first. No tenant access and no integration system user.

What to exportFor whoever runs it
Every worker, current and terminated, for the period in scopeWorker report: Employee_ID, worker type, hire date, termination date, position, supervisory org, cost centre, email
Positions and their statusPosition report: Position_ID, status, job profile, supervisory org, worker
Job change history, if workforce AI is in scopeEffective-dated job history: worker, effective date, business process, old and new values
Organisations and managersSupervisory organisation report: org, manager, parent org
  • Exports only, no access to your systems
  • NDA and data processing agreement first
  • The full list of sub-processors comes with our data processing agreement, before any data moves
  • Raw exports deleted after the engagement; we keep quality metrics, not your records

How a Truth Score Read tests Workday

From your exports to a signed verdict.

Within 5 working days of complete exports. A fixed fee, agreed before we start, that never moves with the verdict.

  1. 01

Export Workday, and one system beside it

The Workday exports listed above, plus at least one neighbour, such as payroll. Under NDA, using the field list we send.

  2. 02

    Match across systems

Our engine matches each worker and its related records across the exports by ID, name, email and domain, including the ones spelt differently in each system.

  3. 03

    Check by hand, then score

Every red flag is checked by hand against sample records before sign-off. Then the Truth Score: each pillar shows what was measured and what wasn’t, and pillars with too little signal are marked, never guessed.

  4. 04

    Get the verdict in writing

A signed memo: the red flags between Workday and the other systems, a Leverability read on the AI you’re considering (which AI ideas you can use now, after fixes, or not at all), a verdict (sign, fix first or walk away) and a short fix list your own team can work from.

What you get back

See what comes back: a real sample memo.

One fictional B2B software company, Example Co: 72,837 records in 7 exports from its CRM, finance and HR systems, run through the same engine and the same checks as a paid Truth Score Read. Each system passes its own checks. Matched across systems, only 13% of deals tie to an invoice.

Real engine output on generated test data, not a client.

Questions

Workday and AI, answered plainly.

Anything else, ask on the 30-minute call. It commits you to nothing.

Book the call
How do you handle employee data?

We agree the minimum fields first: typically IDs, dates, org and role without pay or personal details. Exports only, under NDA and a data processing agreement, and raw exports deleted after the engagement.

Why compare Workday with the CRM?

Because AI that routes work, scores leads or escalates tickets relies on owners being real. Leavers who still own accounts are a classic cross-system gap.

Can you test a workforce planning tool?

We can test whether positions, history and orgs are complete and consistent enough to feed it, and say where they break.

Do you need Workday access?

No. Report exports run by your HRIS team are all we use. Nothing configured in your tenant.
