ERP · NetSuite data quality for AINetSuite is the money. Does it agree with the CRM?

NetSuite usually anchors the financial truth of a business, so any AI touching finance, inventory or customers leans on it. Acquisitions, subsidiaries and years of customisation leave the customer and item masters cluttered. We compare NetSuite exports with your CRM, payroll and spreadsheets to show what a model could trust.

Starts with a 30-minute call. Commits you to nothing. Then exports only: no login, no connected app, nothing installed.

Illustrative example, not a client.

Source of truth

What NetSuite gets right.

Every system is built to be right about something. Knowing what NetSuite owns, and what it doesn’t, is where a cross-system check starts, and where the Truth Score™ (a score out of 100 for how far your data can be trusted) begins to take shape.

  • 01

    What was invoiced and paid

Invoices, credit memos, payments and open receivables.

  • 02

    The ledger

GL postings by subsidiary, department, class and location.

  • 03

    Items and inventory

Item master, quantities, costs and fulfilment, where used.

What it isn’t the truth for

Who the customer is commercially. NetSuite knows who was billed, under a legal entity name, not the account sales manages, its parent group or who owns the relationship.

Inside the system

Common NetSuite data problems for AI.

What goes wrong inside NetSuite itself, with the objects and fields where it shows. Each one is checkable from an export.

  1. 01

    Duplicate customers and items

The same customer or product exists under several internal IDs, sometimes one per subsidiary or acquisition, so history and margin split.

    Customer.entityidCustomer.internalidItem.itemidexternalid

  2. 02

    Subsidiaries that disagree

In OneWorld setups, naming, item and classification conventions drift between entities, so consolidated views lose comparability.

    subsidiaryItem.classCustomer.category

  3. 03

    Custom field sprawl

Overlapping and abandoned custom fields hold business-critical values whose meaning lives in someone’s head.

    custentity_*custbody_*custitem_*

  4. 04

    Segments applied unevenly

Transactions post with missing or inconsistent department, class and location, so results cannot be sliced cleanly.

    departmentclasslocationaccount

  5. 05

    No key the CRM shares

Without the CRM account ID in externalid or a custom field, matching invoices to deals falls back to names.

Between systems

NetSuite looks clean on its own. The gaps are next door.

The problems that sink AI sit between NetSuite and the systems beside it: the same customer, person or transaction recorded differently in each. These are the gaps to test for each pairing.

What to export

What we need from you, in plain English.

Saved searches exported to CSV are the usual route, and your finance team will know them well. We send the columns we need. No NetSuite role, no SuiteApp, no token.

What to exportFor whoever runs it
Every customer, with subsidiary and any CRM IDCustomer saved search: internalid, entityid, companyname, subsidiary, externalid, email, url, terms
Invoices and credit memos for the last three yearsTransaction saved search: type, tranid, trandate, entity, amount, status, subsidiary, department, class
Customer payments, if cash is in scopeCustomer Payment: trandate, entity, amount, applied-to invoice
The item list, if pricing or demand is in scopeItem: internalid, itemid, displayname, type, class, base price

How a Truth Score Read tests NetSuite

From your exports to a signed verdict.

Within 5 working days of complete exports. A fixed fee, agreed before we start, that never moves with the verdict.

  1. 01

Export NetSuite, and one system beside it

The NetSuite exports listed above, plus at least one neighbour, such as CRM. Under NDA, using the field list we send.

  2. 02

    Match across systems

Our engine matches each customer and its related records across the exports by ID, name, email and domain, including the ones spelt differently in each system.

  3. 03

    Check by hand, then score

Every red flag is checked by hand against sample records before sign-off. Then the Truth Score: each pillar shows what was measured and what wasn’t, and pillars with too little signal are marked, never guessed.

  4. 04

    Get the verdict in writing

A signed memo: the red flags between NetSuite and the other systems, a Leverability read on the AI you’re considering (which AI ideas you can use now, after fixes, or not at all), a verdict (sign, fix first or walk away) and a short fix list your own team can work from.

What you get back

See what comes back: a real sample memo.

One fictional B2B software company, Example Co: 72,837 records in 7 exports from its CRM, finance and HR systems, run through the same engine and the same checks as a paid Truth Score Read. Each system passes its own checks. Matched across systems, only 13% of deals tie to an invoice.

Real engine output on generated test data, not a client.

Questions

NetSuite and AI, answered plainly.

Anything else, ask on the 30-minute call. It commits you to nothing.

Book the call
Do you need NetSuite access?

No. Saved searches exported to CSV by your finance team, under NDA, are all we work from. No role, no SuiteApp, nothing installed.

Our NetSuite is audited. Is it not already clean?

An audit tests that the financial statements are fairly stated. It does not test whether every customer matches the CRM, whether items are duplicated or whether segments are applied consistently, which is what AI depends on.

We have several subsidiaries. Should we include them all?

Include every subsidiary that bills the same customers. Duplicates across subsidiaries are a common reason NetSuite disagrees with itself.

Can you test a cash forecasting tool before we buy it?

Yes. Send the proposal with your exports. We test whether invoices, payments and terms reconcile well enough to feed it, and say so in writing within 5 working days of complete exports.
